Item Creation

This guide will walk you through the process of creating a new item in the IT SOLVER Point of sale backend application.

Item creation involves the following steps:
1. Create Item ✅
2. Create Variation ✅
3. Add Inventory ✅


1. Introduction

By following these instructions, users can effectively manage their inventory within the software.

2. Login to Back Office

Log in to our back office application

Login to Back Office

3. Click "Your username"

Enter your User Email

Click 'Your username'

4. Click "Your password"

Enter your password

Click 'Your password'

5. Click "Login"

Log in to your account

Click 'Login'


Create Item ✅

6. Click "Items"

Navigate to the Items section

Click 'Items'

7. Click "Create Item"

Click on Create Item

8. Item

  • Name (Required)

    • Enter a unique and descriptive name for the item. This will be the primary identifier for the product in the system.

  • Category (Required)

    • Select the appropriate category from the dropdown list to classify the item correctly. This helps in organizing and filtering products.

  • Alternate Name

    • Provide an alternative name or alias for the item, which can also be entered in a different language to accommodate diverse customer preferences.

  • Brand

    • Choose the item's brand from the dropdown list. This helps in brand-specific filtering and management.

  • Position

    • Defines the item's placement or order on the Point of Sale (POS) device for easier access during sales transactions.

  • Description

    • Write a detailed description of the item, including features, options, and measurements. This text will be displayed in your online shop, if applicable, providing customers with important product information.

  • Image

    • Upload an image that visually represents the item. The recommended format is PNG/JPEG with a minimum resolution of 1024x768 pixels (2:1 ratio) and a maximum size of 3MB.

9. Click "Item Name"

Enter the item's name

10. Click "Select Category"

Choose the item category

Click 'Select Category'

11. Click "Select Brand"

Choose the brand of the item

Click 'Select Brand'

12. Click here

Click on the indicated area to upload item's image. Choose Image to upload

13. Click "Save"

Save the changes

Click 'Save'


Create Variation ✅

14. Click "Add Variation"

Add a variation to the item

Click 'Add Variation'

15. New Variation

  • Name (Required)

    • Enter a unique name for the item variation (e.g., Pepsi Max No Sugar Cola Cans).

  • Alternate Name

    • Enter the variation name in another language (e.g., بيبسي ماكس بدون سكر عبوات).

  • Type (Required)

    • Select item type: Sale (regular item), Combo (bundled items)

  • Unit of Measurement (UOM) (Required)

    • Choose how the item is measured: Count, Weight (kg), or Volume (L).

  • SKU (Required)

    • Unique identifier for inventory tracking (e.g., 13).

  • Barcode

    • Enter the item’s barcode (e.g., 852074109630).

  • HSN

    • Enter the item’s tax classification code (e.g., 220251).

  • Alternate Code

    • A keyboard shortcut for quick POS entry (e.g., pmns).

  • Minimum/Maximum Price

    • Define pricing limits for the item.

  • Shelf Life

    • Enter how long the product stays usable.

  • Description

    • Provide product details (e.g., Enjoy the bold taste of Pepsi Max with zero sugar).

  • Image

    • Upload an image (recommended 1024x768px, max 10MB).

  • Enable Weighing Scale

    • Enable if sold by weight.

New Variation

16. Click "Variation Name"

Enter the name of the item variation. If the item only has one variation, you can use the same item name as variation name also.

Click 'Variation Name'

17. Click "Select Type"

Choose the type of sale.

Click 'Select Type'

18. Click "Select Unit Measure Type"

Select the unit measure type

Click 'Select Unit Measure Type'

19. Click "Barcode"

Enter the barcode information

Click 'Barcode'

20. Click "Save"

Save the changes

Click 'Save'

As shown the Item has been created successfully

22. Total Variation

As shown the you can check the number of variations which been created under item. In this demo we only have one variation but it's possible to have multi variation under one item. and As shown a unique "SKU" stock keeping unit has been assigned to the variation.

Add Inventory ✅

23. Create Inventory

After creating the Item Variation, inventory is added. Navigate to the "Inventory" section.

24. Click "Add Inventory"

Click on "Add Inventory" to add an inventory to Item Variation.

25. Click "Pricing Type"

Choose "Pricing Type" from the list. Fixed: Fixed pricing, selling price cannot be changed during sale at checkout. Variable: Variable pricing, selling price can be altered during sale at checkout. Multi: Item can have multiple pricing. Price categories allow creating multiple pricing for the individual item. For example, Item: Pepsi's store price is £1 but its online price is £1.5. For this demo we will choose "Fixed"

Click 'Pricing Type'

26. Click "Buying Price"

Enter the "Buying Price" to set the purchase price.

Click 'Buying Price'

27. Click "Selling Price"

Enter the "Selling Price" to set the selling price.

Click 'Selling Price'

28. Click "Selling Taxes"

Choose "Selling Taxes" to apply taxes on sale.

Click 'Selling Taxes'

29. Click "Buying Taxes"

Choose "Buying Taxes" to add taxes on purchase price.

Click 'Buying Taxes'

30. Click "Stock"

Enter Available quantity of the item.

Click 'Stock'

31. Click "Low Stock Alert"

Enter and Set the low stock alert quantity when low stock has to be indicated.

Click 'Low Stock Alert'

32. Click "Save"

Click on "Save" to save the changes.

Click 'Save'

33. Click "Yes"

Confirm by clicking on "Yes".

Click 'Yes'
